1. Initiating a Note:-

Well, it is the job of an assistant to initiate a note. If there is a case that has to be described in the form of a note, the assistant will simply analyze the most important facts of a case in a note prepared by him. This will assist the decision making process in a better way.

2. What to Write a Note upon:-

If you are working in a government office, the office will be receiving file packets or letters which contain letters with instructions to initiate any action. The same file packets fetch you with the instructions to write a note or a draft. If you receive a letter, you will have to place it in a file. This can be done according to the subject of letter that you receive. Figure out the subject of any letter and if it belongs to any previous subject file, change the letter location to the same file to which the subject belongs.

3. Opening a new file:-

If the subject of file that you receive is different from the earlier created files, a new file will be created in this case. Start background work on the case meanwhile. If a noting part of the file needs clarification, you will need to clarify it or else it will be requesting an action for which you can talk the concerned officer in your office and you can make the necessary actions.

4. In Case of Urgent Files:-

If any letter or file arrives in your office with an “Urgent” label over it, you should first accomplish the action associated with that file and then only you should make attempts for the other files. Time bound cases should always be given the top priority.

Start your ordeal with a particular file keeping in mind the time limit as well as all the other factors involved in the case. Understand the case first and then only make analysis of the problem. Check precedence for the case and then go through the past of any case to make yourself more familiar with it.

6. The final drafting:-

Before drafting for any case, you should get an advice from the concerned officials about it. Drafting is a risky process as it is always the final decision. Go for drafting a particular file only when the decision is clear. As you are writing on someone else’s behalf, you should adopt the mindset of actual sender and then you should mention the purpose for which you are drafting. The rest of body includes the details and decision of the case and then you can dispatch your draft.
